MINUTES OF THE ANNUAL GENERAL BODY

                MEETING HELD ON 25-07-’09.

                           The Annual General Body Meeting of the RBK School PTA was held in the School Auditorium on the fourth floor, instead of The Art room in the Third floor, as it was lacking space. The meeting commenced 15 minutes late as the required quorum was not present.

                      The meeting was chaired by Mrs. Rodriques – The Chair person PTA ’08-’09.

                     Mr. Majeed Walele, Secretary ’08-’09, Mrs. Periera, Treasurer (school), Mrs. Anubha Daga, Co-Treasurer, Mrs. Harvinder Kaur , Asst.Treasurer, were also present.

                     The Secretary , Mr. Majeed Walele, introduced and welcomed the members and said the PTA takes a very active part in the school activities and issues. He was also disappointed to hear that the PTA was not encouraged by many parents who really does not know the PTA’s activities.

·        Chair person’s Address:

                     The Chair person Mrs. Rodriques greeted the members present but was disappointed with the parents who do attend such meetings and not participate in the school activities. The Chair person appreciated the PTA and their activities in the school and complemented Mr. Majeed, the Secretary giving his valuable time for the welfare of the school children. The Chair person also highlighted the Disaster Management , which had taken place in the school, was a knowledgeable program to the students and the parents. She concluded the speech by quoting to the parents, that they should come forward and involve with the school in good terms, for their children to gain values, skills and knowledge.  

·        Secretary’s Address:

                       The secretary Mr. Majeed Walele, thanked the outgoing chairman for the speech and her co-operation in the committee which made the PTA achieve many things last year. The Annual Report was explained to the members present i.e. the issues solved and the events done by the PTA last year. Till last year the PTA was felicitating the merit holding students of the school, but this year, as the school is entering its 10th year, the management has decided to do the felicitation. This information was applauded by all the members. The Secretary also announced that a sponsorship, for a scholarship for the students is to be started from this year onwards depending on the funds in the PTA. It will be 50% of the fees for 1 child, per family, to maximum 3 children per year, that too when any family faces financial instability because of any calamity affects the family earning member. The voting was taken then and there, and 75 % of the members raised their hands to support this decision. To assure it, signatures were taken from the members present who would accept the decision. It was also announced that the present PTA is being registered and it is in process. The Secretary was very disappointed that only 34 nominations were filed by the members, among the parents of 4600 children in the school. All the nominees were appreciated for their participation and their names were read out and they were told to stay back after the meeting for the selection of the representatives among them. Any queries and suggestions, regarding the PTA, the parents   were instructed to approach the Administrator, in the school between 11a.m. to 1p.m.

Mr. Vinay, a parent suggested for a complaint box in the buses, for the parents staying far away, need not come to school. The suggestion was welcomed by the Secretary and would consider it in future. 

            Mrs. Bhargava. the school Principal, told the gentlemen that it is better that the parents approach the respective heads, personally, for any queries, for it will be dealt then and there. And the PTA cannot correct, or suggest the academic plans of the school. It was also assured by her to the members that, the children will not be penalized for any complaint.

            The treasurer, Mrs. Periera was requested to give the statement of accounts to the members. The statement of accounts was read out to the members present and any member having queries regarding the accounts, can have a look into it, any time.          

             Members of the PTA present appreciated the Administrator, Mrs. Chitra Rangarajan’s efforts for the year 2008 – ’09 and decided to continue her as a PTA Administrator for the year 2009 – ’10, with similar terms and conditions as in the year 2008 – ’09, with suitable appreciation in her remuneration package as decided by the managing committee. 

            As no other issues were to be discussed, the meeting concluded with vote of thanks and tea and snacks to the members present.

            MOM FOR THE ELECTION OF THE EXECUTIVE -

                                     COMMITTEE MEMBERS.  

                         The election for electing the representatives and the Exe – committee members were held on 25^th of July, soon after the Annual General Body Meeting was over. All the members who had filed their nominations gathered in a classroom, in the school, and each class representatives were selected as the working committee members. Then the elected class representatives, after introduction, proposed and seconded and elected the following exe – committee members: 

         Mrs. Kavitha Biniyiani was also told to assist Mrs. Nirmi Shah. The above names were approved by the all the members present for the respective posts indicated against their names and the meeting concluded.
